Password manager
A password manager is an application that securely stores, generates and fills in passwords, so each account can have a long, unique password without users needing to remember them.
Password managers keep credentials in an encrypted vault protected by one strong master password and, ideally, multi-factor authentication. They can create random passwords, fill them in automatically on the correct websites and let teams share access to accounts without sending passwords by email or text.
Reusing the same password across several sites is one of the biggest risks for small businesses. When any one of those sites suffers a breach, attackers try the leaked passwords everywhere else, including your email and banking. A business password manager removes the temptation to reuse passwords and gives you control over shared accounts when an employee leaves.
Practical tip: choose a business edition rather than letting each employee use a personal tool or their web browser. Business versions let you manage users, recover access, share folders by team and remove access immediately during offboarding. Protect the vault itself with multi-factor authentication.
